Set up check-in and attendance

Choose between a venue QR code and location-based check-in.

Turning attendance on

Attendance is off until you enable it. It lives on the Preferences tab of the event form, under Attendance check-in, and can also be toggled from the event's guest list once it's running.

Preferences → Attendance check-in

The three switches that decide how people mark themselves present. Example event settings.

The three options

  • Auto-enable the attendance link — shows the check-in panel on the event page around the time of the event. This is the switch that makes check-in appear at all.
  • Require people to be at the location — geofencing. Set a radius in metres and check-in is refused beyond that distance from the map pin. It needs a location pin on the Details tab; without one the option is unavailable.
  • Enable QR code check-in — people prove they are there by scanning a code you display at the venue, with no location permission involved. Better in a basement, a car park, or anywhere GPS is unreliable.

QR and location aren't exclusive. Running both gives people a fallback when one fails — a dead camera, a denied location prompt — without you having to mark anyone by hand.

Locking check-in to one device

Lock check-in to the registration device requires people to check in from the same phone or laptop they registered on. It stops one person marking a group of friends present.

Turn it off if your members commonly register on a laptop and turn up with only a phone — with it on, they'll be blocked at the start line and you'll be marking them by hand.

Displaying the QR code

Each event has its own code, generated from the event's guest list page. Print it or show it on a phone at the start — registered members scan it from the event page to mark themselves present.

The event QR code

One code per event; last week's poster won't work for this week's run. Example event.
